What is an SOP formatter?

Before and after: a real example

This is a real run of the tool. The document on the left is how most SOPs actually look after a few years: mixed numbering, a rule buried in a sentence, notes scattered through the text. The tool keeps the wording and fixes the shape, then lists what it noticed but left alone.

LEFT AS WRITTEN, WORTH A LOOK
- "recieve" looks like a typo for "receive".
- "its" is missing an apostrophe in two places, and "doesnt" in one.
- "Also update the shared calendar!!" has no clear owner: it isn't stated whether payroll or the manager does it.
- "IMPORTANT recieve the reply before booking anything" isn't tied to a step, so it isn't clear where it sits in the sequence.
- There's no overview or trigger at the top. Say "add an overview and trigger" and I'll draft them.

Notice what it did not do: it did not fix “recieve”, and it did not guess who updates the calendar. It pointed both out and left the decision to you.

  1. Changes the structure. Headings, numbered steps, bullet lists, spacing and tables are made consistent.
  2. Keeps your words. Every word stays as written, so the SOP still says what your team means.
  3. Flags, does not fix. Typos, duplicate step numbers, contradictions and steps with no clear owner are listed at the end for you to decide.
  4. Changes content only when you ask. Ask it to shorten, simplify or add an overview and trigger, and it does that and tells you what it changed.
